| Our
preparations for the convention are in full swing and
we await you to join the proceedings, pretty soon. Please
allow me to inform you of some of some basic and must
pre-requisites, which all delegates are requested to adhere
to. These are basically three points, listed below;
1).
Gift Exchange Program:
I would like to draw your kind attention to our 4-day

where like always we have incorporated a gift exchange
ceremony, scheduled for Friday afternoon. The delegates
who frequently attend our conventions are fully aware
of this philosophy of gift exchange, which is to evolve
a fellowship environment amongst the global family of
SAFIANs. Each delegate is expected to bring a gift for
his / her fellow delegates.
This
gift can be any thing; and can be small / economical
e.g. pen, cap, lighter, handkerchief, sweets, table
top, jersey, keychain, wallet, any national souvenir,
decorative item, etc), but we prefer that it should
contain a national touch which reflects your country
in some way or the other. We certainly do not recommend
our delegates to spend lavishly on such gifts, as the
idea is to nurture a sense of belonging to this great
family of ours. In reciprocation your fellow delegates
would also present you gifts individually. The price
does not matter here at all; it’s just the thought,
which matters.
These
gifts are expected form each delegate and not just from
each company, so if your delegation has more than one
delegate, then kindly ensure that all of them carry
50 gifts separately. If that gift carries your name
/ country’s name / flag printed on it (Screen
printing, easy to be done in a day or two) it would
be a matter of long remembrance to those who would keep

2).
Your National / Traditional / Cultural Dress:
Similarly those delegates who have attended our previous
conventions understand that they have to be attired
in their national / regional / cultural dresses in order
to present their national values in front of audience
and media present in the opening ceremony. It is a must
for every delegate attending this convention to be dressed
in national dress for the opening ceremony. In order
to create interest and to make it livelier we have introduced
a very special award for the best dressed delegate,
which shall be judged by our higher management and presented
during the awards banquet by the chief guest on stage.

3). Compact Report –
(Scrap book):
Each company (Chief delegate) shall submit a 15–20
page (A-3 paper size) report for this convention, which
shall be based on following contents;

Background of your company (History, profile, strengths,
staff, products)…..5 Pages
2). History of Affiliation with So~Safe.........1 Page
3). Promotional schemes of So~Safe brand in your region
/ country........3 Pages
4). A purchase record (figures) of So~Safe products during
the year 2003….1 Page
5). Strengths of So~Safe in your region / country.........2
pages
6). Problems faced during marketing of So~Safe..........3
Pages
7). Suggestions for improvement in products and for marketing
plan…….3 pages
8). Any other point which you want to highlight…………..2–3

This
report may vary in pages, (have no fixed limits) and
shall be supported by pictures wherever appropriate,
especially under the heading of "promotion of So~Safe
products".
